Privacy Policy
The privacy, security, confidentiality of documentation and communications of my clients is very important to me. My privacy policies include but are not limited to the following:
i. Initial contact information including names, phone numbers, addresses and other personal information may be collected by myself by phone contact. In this case the information will be filled onto a data collection form by me and filed securely in my filing cabinet which is locked and in the study in my own home. The data may be input into my computer to a secure drive, which is password protected.
ii. Initial contact information may also be collected by myself by way of email received. My email is password protected and the data may be saved into my computer to a secure drive, which is password protected. No other parties will have access to this information.
iii. I will use the initial contact information exclusively to follow up enquiries, make appointments and otherwise correspond with clients. Under no circumstance would I give any client details to third parties without first requesting their specific permission.
iv. All original documentation supplied by the clients including birth certificates (or other documents where applicable) and photocopies of same will be kept securely in my filing cabinet if required. Any scanned client items will be saved into a secure folder on my computer which is password protected. I will sign a receipt for any original documents and give this to the clients and the clients will similarly sign to verify when they receive these back (except in the case where the documents are not left with me).
v. Regular hard copy backups of all client files will be made at least once a month onto DVD/CD and filed in my filing cabinet.
vi. Any correspondence received from clients with regards to the composition of their ceremony will be held securely in my filing cabinet and/or computer drive.
vii. Copies of any correspondence sent to clients with regards to the composition of their ceremony will be held securely in my filing cabinet and/or computer drive.
viii. For the purposes of providing example ceremonies to new clients, a client's personalised ceremony may only be reproduced in part and their names changed to protect client's privacy.
ix. If requested by one member of a couple, details given by that person will not be passed on to the other member of the couple and will be kept confidentially.
x. No information about a client or their ceremony details will be given out to any person without the specific permission of the client, whether they are family/friends or not.
